Meal prep in Sydney
Built for a city with water through the middle of every route.
Sydney trains before work and eats on the run. Beach gyms at Bondi and Coogee, studios through the inner west, long hours in the city, and a lot of people living in apartments with a galley kitchen and no room to cook on Sunday. They buy a week of meals at a time and choose them on a phone. Mealforma is meal prep software that gives a Sydney company one place to sell those plans, take the orders, run the kitchen list and see what the week is worth.
The harbour is the delivery problem. There are only so many ways across it, and a route that needs the bridge or the tunnel at the wrong hour loses time it will not get back. Heading west, Parramatta Road and the ANZAC Bridge are no kinder. Mealforma builds each day's route from the actual orders and gives the driver the stops in order on their phone, with the customer's notes and a photo recorded at the door.
Greater Sydney runs a long way — from the beaches out to the foot of the Blue Mountains — and the drive from an inner-west kitchen to Penrith is nothing like the drive to Newtown. Delivery zones, fees, minimum orders, delivery days and cut-off times are settings you change yourself, so most operators hold the inner city and the east first, then take on the north shore or the west one zone at a time when the orders pay for the kilometres.
Summer sets the other limit. A van on a February afternoon is a hot box, so windows get tighter and routes get shorter, and chilled food cannot sit at a building's front door while somebody is at work. Every address carries its own access notes — the unit number, which lift, whether the building takes parcels — and the driver reads them on the stop instead of in a group chat with the kitchen.

How to start a meal prep business in New South WalesWhy Sydney operators switch
Three things we decided, so you do not have to negotiate them.
Built-in AI. Set up in minutes, easy every day.
Your shop is ready the moment you sign up, and your team can run it without training. Then switch on AI wherever it helps: a chat on your website that answers customers from your own menu, an assistant in your admin that finds orders and drafts replies, and recipe import that turns a pasted recipe into macros and labels.
See what the AI doesNo percentage of your sales. Ever.
A flat monthly price, and that is the whole bill for the platform. We do not take a cut of your orders, your subscriptions or your growth, and we are not going to add it later.

The menu a customer orders from is the same data the kitchen produces against, the labels print from, and the route is built from. Nothing is re-keyed between tools.
Everything it does
Scope
Meal prep software from the shopping cart to the front door.
Six surfaces that share one catalogue, one set of recipe versions and one order record. Nothing is re-keyed between them.
Storefront and customer portal
A shop your customers order from, and a portal they manage their plan in — both driven by your catalogue rather than a separate website you keep in sync by hand.
Subscriptions and checkout
The part most meal-prep businesses actually run on, modelled properly instead of as a recurring charge with a menu attached.
Kitchen production
What to cook, how much, and from which recipe version — computed from the orders that are actually locked, not from a guess.
Labels and compliance
Labels print from the same recipe and nutrition versions the kitchen produced against, at exact physical size.
Delivery, routing and the driver app
Dispatch that assumes the phone loses signal, because in a delivery van it does.
Admin, staff and the assistant
The back office, with the permissions and the audit trail a business with staff actually needs.

Questions Sydney operators ask
Do the labels handle allergen declarations under the Food Standards Code?
Mealforma does not certify anything and cannot tell you that a label meets the code — that is between you, your council and the NSW Food Authority. What it gives you is the mechanism: allergens are recorded on the ingredient, they flow through to the recipe version the kitchen actually cooked, and the label prints from that version at its real physical size. A person approves every ingredient match. Change a recipe and the next label follows without anyone retyping it.
Australian prices are quoted with GST included. Can the storefront do that?
Yes. You set your own tax rate in settings, per location, and a switch decides whether your listed prices already contain it or it is added at checkout — so a menu can read as a plain dollar figure with the tax shown as its own line on the order. Mealforma does not choose the rate for you and does not lodge a BAS; that stays between you and your accountant.
Can a run across the bridge cost more than a drop in the inner west?
Yes. Each delivery zone is a shape you draw on the map with its own fee, minimum order, delivery days and windows. A customer's address decides which zone they fall in at checkout, so the north shore or the west can carry a higher fee and a higher minimum, and an address outside your zones is caught before it becomes a stop.
It is thirty-five degrees and a customer is not home. What does the driver do?
They mark the stop as failed and choose a reason from a list you write yourself — no safe place, nobody home, no building access. The failed attempt is kept exactly as it happened and the re-delivery is a separate record pointing back at it, so you can see which suburbs and which buildings keep costing you a second run instead of arguing about it later.
Do customers pick their own meals each week, or do we send a fixed box?
Either. Customers choose from the week's menu in their account up to your cut-off, and anyone who has not picked by then can have meals selected for them from their favourites rather than being skipped. Once the cut-off passes the week is locked, and the kitchen list is computed from those locked orders — not from a forecast.
